One of the key focus areas in any business strategy is brand recognition. Companies want their logos and their products to be instantly recognizable. In order to achieve this they employ a wide variety of marketing techniques. One way to be noticed is to host functions that aim to introduce new products or services, to celebrate an award or to simply bring the company under the attention of a selected target group. When it comes to corporate events hosting Scottsdale companies take no chances. They go to the professionals.

One of the main reasons why corporate functions sometimes do not go smoothly is a poor briefing. Function organizers cannot meet the expectations of their clients if they are not given a detailed briefing. They need to know what goals the client wants to achieve with the function. They need to know who the guests are and if there will be guests of honor they need to be informed.

It is also vitally important that the function organizer is given a budget. It is simply not possible to develop a realistic proposal if the budget remains an unknown entity. The organizer should also be made aware of guests with special needs, such as diet restrictions or individuals with disabilities. If there are security arrangements the organizer must be kept in the loop.

Corporations that host functions regularly often prefer to use the same function organizer time and time again. In such relationships the clients are assured that their function is in good hands and the organizer knows what the client expects, what their likes and dislikes are and how they like things to be done. When using a planner for the first time it is very important to check references and to make sure that the professional in question has ample experience in this field.

Regardless of how many times an organizer has planned a function for a specific company, the client should always insist upon a detailed proposal and a budget before giving the go ahead for another function. The proposal should make provision for regular feedback sessions and the client should be given the opportunity to exercise personal preferences regarding key components such as the venue, the entertainment and the menu.

Functions often do not meet expectations because the planner was forced to compromise. This happens when there is not sufficient liaison between the client and the planner. Clients should make sure that at least one employee is tasked with communicating with the planner. This employee should be empowered to make decisions on behalf of the company and he or she should be available for the planner at all times.

It is definitely not a good idea to try and organize an important function in house. Few employees will have the contacts that are necessary to ensure that every aspect of the function is executed successfully. There is also a great danger that important details such as adequate parking, security for important guests and arrangements for guests with special needs will be forgotten and that the budget will be exceeded or poorly allocated.

Businesses do not fork out large amounts of money on functions purely for the fun of it. They do it as an investment in achieving their marketing objectives. It is therefore very important to make sure that the funds are well spent and that the function is organized professionally.
